Criterion Five:  (all units)

1.   Does your unit have an external advisory board? If so, describe how it was formed, who serves, and how often it meets, and any useful suggestions this board has provided to improve the functioning of your unit.

Business Office

No external advisory board

Business Services/Comptrollers Office

No external advisory board.

Computer Services

No external advisory board.

Conferencing

No

Human Resources

No.  HR does not have an advisory board.

Physical Facilities

The CSC Physical Facilities Department does not have an external advisory board.

We do in fact have a Facilities Development Committee on campus that approves many of our projects and receives input from students for future projects.

Print Shop

Safety

Safety standards are governed by different external advisory boards (i.e., electrical codes, fire codes, elevator codes fire alarm, sprinkler systems, fire extinguishers, boilers), including:  Nebraska Department of Environmental Quality, Environmental Protection Agency, Department of Labor, State Fire Marshal, Nebraska Safety Council, Region 23 Emergency.

External constituents—All Nebraska Colleges were invited to meetings concerning safety aspects, especially environmental aspects.  This group met quarterly at various campuses across Nebraska.

Security

No external advisory board.

2.   If you do not have an external advisory board, how do you contact external constituents in the region in order to understand the changing needs of constituents and communities?

Business Office

We offer information about the Business Office on our website located on www.csc.edu.  Our constituents will find valuable information and contact information on our website.

Business Services/Comptrollers Office

External constituents are contacted through yearly reports that are provided by the Director of Business Services to the requesting agency.  Also audit reports are available on the Nebraska State College System Website.

Computer Services

Professional journals, such as EDUCAUSE, are referenced in order to remain current on technology demands and trends in higher education.  Academic and Administrative offices provide information that is critical to the needs of external constituencies.  We also work with WNCC to coordinate administrative and academic functions.  Vendors contact us on a regular basis to keep us alert as to changes in the market.  Staff gather information at conferences and occasionally present on technology topics.

Conferencing

The Conferencing Office has implemented a group of people that review the area of catering.  We constructed this group to look at the different food items that we would like to see featured during different times of the year.    This group consists of people on- and off- campus.   We have had several suggestions from this group but the most popular suggestion was to introduce more fish to the menu.

Several groups come to campus and make special requests of our staff in the area of food and setups of the rooms.

In the area of housing of guests, we receive feedback from several key groups on campus that provide information on what they would like to see changed or improved.  No actual group is formed.

Human Resources

The Director of Human Resources is a member of the Society of Human Resource Management (SHRM) and College and University Professional Association for  Human Resources (CUPA-HR)  listserv which allows the department to stay current on changes in the Human Resources and Payroll fields in colleges and universities nationwide.  The Director of Human Resources is also a member of the Platte Valley Human Resources Association which gives the department an opportunity to be involved with regional HR issues.

The staff of the Human Resources Office is also in contact with the System Office and other Human Resource and Payroll offices at the System Office, Wayne State College, and Peru State College on a regular basis so that we are informed on changes or concerns that are occurring within the Nebraska State College System.

CSC also coordinates employment services with Nebraska Workforce Development which allows us to stay current with local and state employment trends.

Physical Facilities

The Facilities Development Committee includes in its membership one or two individuals from off campus. Facilities staff attend many campus meetings to hear requests from faculty and staff for many projects.  Currently external constituents meet with the Vice President or Facilities Coordinator to discuss projects.

Security

The Security Office relies heavily on national publications dealing with student issues, campus crime trends, and security issues.  Daily contact is maintained with local law enforcement entities regarding campus/community issues, preparation for future events and exchange of information.

3.   Describe any activities in the past five years that your unit has undertaken with, or provided to, external constituents.

Business Office

The Business Office worked with Computer Services implemented the on-line credit card payment software in November 2005.  This service was announced on the Campus Pipeline system, school paper and local paper.  An announcement was included with the December 2004 billing statements to our students.

We have also worked with the Extended Campus office to implement a monthly payment plan.

Business Services/Comptrollers Office

This unit has provided reports to external constituents that provide grants to CSC, reports that are required by state and federal agencies from higher education institutions and also completes an audit that is accessible to all external constituents who want to access it at the NSCS.edu website.

Conferencing

Some of the activities undertaken or provided by Conferencing in the past five years include:

College Image:

The Conferencing Office has implemented new signs and sign holders in the Student Center making it easier for students, faculty, staff and off-campus guests to find their meeting rooms.    The signs provide a more professional image to visitors at the Student Center.

Housing:

We are in the process of looking at our guest housing on campus and upgrading those rooms (Penthouse & guest room in High Rise Residence Hall).

Food Service:

We are working with Food Service to provide a new catering guide for 2006-2007;  hoping to focus on some of the new food trends (example: fish dishes).

Survey Cards:

We review the cards to see how we have done to serve the groups and where we need to improve.   We have also called several of these groups to visit about the comments.

The Conferencing Office works with groups off-campus to organize meetings, workshops and conferences.  This gives the College an opportunity to work with other businesses and companies to bring educational opportunities to students, faculty, staff and the community.

5.   Describe any suggestions from your advisory board or from external constituents that you have implemented within your unit in the past five years.  How did you obtain these suggestions?

Business Office

The technology trend of having our students do more of their business on-line led us toward the on-line credit card payment system.

Business Services/Comptrollers Office

Several suggestions made by the auditor have been incorporated within the past five years.  These include such items as requiring a leave report to be signed by professional staff and faculty each month.  In addition, several items in the Perkins Loan area were implemented to assure the College was in complete compliance with Federal Law.  How did you obtain these suggestions?    We receive these suggestions through management letter comments made by the auditor.

Conferencing

We do not have any forms that have been constructed by an advisory board or external constituents.   But, the Conferencing Office did created a “survey cards” to send out to groups off campus to get feedback in the areas of the Conferencing Office services, Equipment, Food Services and Housing.  These cards are sent out with their billing statement and asked to be returned with their payment.   The card asks the person to rate each area and make any comments.  By adding the comment section to the card it gives us an opportunity to get suggestions from outside groups.

Human Resources

The Human Resources Office routinely implements suggestions from employees, supervisors, students, other HR professionals, applicants, Nebraska State College System Office, State of Nebraska Auditor, State of Nebraska Accounting, federal and state laws, and insurance providers that will have a positive impact on our operation and CSC.  Some of the suggestions that we have implemented include:
